| APPLICATION PROCESS The main objective of writing this document is to make the application process easy and simple. The document is written with a view that the hurdles and impediments faced by us should not be faced by the students following. The details in this document are to best of my knowledge. It may be inaccurate or may get out of date. So please check the bulletins for latest information's. Prerequisite for Admission: # 16 Years of Education # TOEFL # GRE/GMAT Sixteen Years of Education Most of the Universities in USA require that the students planning for graduation (i.e. post graduation according to us) must have completed 16 years of education. There are some exceptions to this, some of the universities may allow students with 15 year of education provided if the student has three years of working experience. But this point has to be confirmed with the university you are applying. Sixteen years of education should not be a problem for a B.E. student. However a B.Com or a B.Sc students will have problem fulfilling the above criteria because the under graduation in B.Com/B.Sc takes 15 years. The B.Com students should go for M.Com Part - 1 which will fulfill the above criteria. It has also to be checked with the university you are applying that whether M.Com part time is acceptable because some university won't accept M.Com done on a part time basis as 16 years of education. Also note that CA, CS ,etc are also not valid. There may be other courses which will be counted for 16 years of education but such courses should be through the Mumbai University. No courses done from NIIT, Aptech, etc are valid for the above requirements. For List of valid courses contact USEFI (Churchgate) A student who is in his final year(16th year) can apply for graduation even when his under graduate studies are in progress. E.g. a student in his final year BE can apply for MS in the same year and send the transcript stating Final year result as awaited. For a M.Com student a separate bonafide certificate is to be made from University Of Mumbai (Fort) stating that he has been enrolled in M.Com Part -1. With this certificate he can apply for Graduation in USA. The awaited results are to be send after they arrive, till that time the student can continue his studies in USA. But if he fails in his exams he'll have to come back clear the exams and continue his studies. Some University may allow you to continue but he will not receive his degree until he clears all the pending exams in INDIA. Sixteen Years of education is a very important criteria for admission. Students failing to fulfill the above may be rejected for admission and this may also create problem for VISAS even if you are admitted. TOEFL Test Of English As Foreign Language(TOEFL) is a compulsory test all the students planning to go to USA for further studies will have to take. This test is conducted by ETS every month in India. For list of test dates get the bulletin from USEFI (Churchgate). You can also get the forms from the private classes like Himanshu Brahmabhat, etc. Go thoroughly through the bulletin before applying for the test. This test basically consist of three sections viz. Listening Comprehension Section Structure and Grammar Section Reading Comprehension Section For more details on this sections go through the TOEFL bulletin Concentrate more on Listening Section because most students fail to score marks in this section To improve on this aspect listen CNN news, watch English Movies, etc. The material useful for TOEFL preparation are BARRONS, CLIFF, ETS Papers. The Fees for taking TOEFL tests is 80 USD. If you are applying for FALL then the TOEFL should be given latest by NOV and you should send the TOEFL application form latest by JULY. Apply at least 4 months in advance for enrolling for the suitable date and center. The test is conducted at only 4 centres in Mumbai (NM, USEFI, Teachers Training and a School in DADAR) hence it is very difficult to get good center and date of your choice, if you apply late. Give the center option of NM and USEFI as they are the best centers. Fill the form properly with pencil. Put bold marks because the form is read through scannable machine. The details in the form should be exactly same as that appear in the passport, exactly same. If they differ then on the test date you wont be allowed to appear for the exams. And also the fees of 80 USD will not be refunded. So take at most care while filling the form. Photocopies of the TOEFL form is not valid. Prepare a Draft payable to IPEM(confirm). The draft should be in Rupees and not in USD. Hence you'll have to go to the bank get the exchange rates in the morning. Then calculate what amount of rupees equals 80 USD. If the rate today is say 43.30 then take the rate a bit higher then today (43.70) and multiply with 80 and prepare the draft. This is necessary because if the draft reaches after say 6 days and the rate is higher then the day the draft was prepared, then there is a possibility of your draft being returned to you. So prepare the draft at a higher rate then current rate. You can prepare the draft through either DCB or SBI. The commission rate of SBI is twice as much as DCB. Refer the TOEFL bulletin for the conversion rates of rupee to USD rates. Send the form through courier to the address given in the bulletin(Allahabad). This is necessary because TOEFL does not even send the letter confirming the receipt of your form. They will only send the Hall ticket 15 - 20 days before your exams, stating the center of exam and the date. So to be on the safe side send it by courier. No need to spend too much money by sending it through Blue Dart or DHL send through any certified courier which can issue you the acknowledgement receipt which will confirm that your form has reached the office. Also before mailing the form take the photocopies of the form and the draft. Make sure that the form has reached the TOEFL office. Also while filling the form be careful while filling the options of next Test Date and Test Center in case of non availability of the date for which you are applying. Always select next available Friday or Saturday. Because if you select next available test date as Next Friday and if the Friday testing is say after 3 months than you wont get any earlier date because those dates are Saturday Testing. So be careful about this aspect. For Getting Admission in any reputed University in USA one should get a minimum of 550 out of 677 . Most university won't accept your application if you don't meet this cutoff. However certain University may give you conditional admission if your score is less than 550. But in that case you'll be required to give the Test of English after going to the university which is very costly. So try to score at least 550 and this should not be a problem for any one. At the time when this document was written the Computer based testing (CBT) had not been introduced in INDIA. Hence information related to that is not given. However if you wish to give CBT you can give it in NEPAL. You can take this option if the deadlines for University Application are nearby, because you get the result online If you give Paper based testing it generally takes 2 months for the results to come so take a note of this. Decide before hand the universities in which you want to apply because in the exams you can write 3 institution in which you want to send the scores free of charge. After this if you want to send the scores to some additional universities you'll have to send the Additional Score Request Form to ETS New - Jersey through post along with a DD of 11 USD per University . Or you can Fax the form to ETS (Fax Number: 1-609-771-7500 ) and make payment through International Credit Card (VISA or MASTERCARD). GRE/GMAT Graduate Record Exam(GRE) is required for all the students planning to do MS in USA. It is a computer base exam and is conducted everyday at ETS Testing Centre. This test basically consist of three sections viz. # Verbal Section # Quantitative Section # Analytical Section For more details on this sections go through the GRE bulletin Concentrate more on Verbal and Quantitative Sections because most University consider the total of this 2 sections for admission. The material useful for GRE preparation are BARRONS, ETS Papers (Big Book ) and PowerPrep CD and Princeton CD. It is very important that you practice on computer before giving the test since GRE is Computer Based Testing .The Fees for taking GRE is 120 USD. Plan to give GRE latest between OCT - JAN. Since this test is online you can receive the scores on the spot. You can also get the forms and the Bulletin from USEFI or from any private classes like Himanshu Brahmabhat, etc. Go thoroughly through the bulletin before applying for the test. Apply at least 3 months in advance. Fill the form properly. While filling the form you should have your passport with you since passport number is required. The details in the form should be exactly same as that appear in the passport, exactly same. If they differ then on the test date you wont be allowed to appear for the exams. And also the fees of 120 USD will not be refunded. So take at most care while filling the form. You can send the photocopies of the GRE forms for application. You can postpone the test date by paying USD 40. Prepare a Draft payable to ETS - GRE(confirm). The draft should be in USD. Hence you'll have to go to the bank dealing in FOREX (Foreign Exchange). You can prepare the draft through either DCB or SBI. The commission rate of SBI is twice as much as DCB. For Getting Admission in any reputed University (Top 100) in USA one should get a minimum of 1900 out of 2400 . However certain University may give you admission even if your score is say 1500. Decide before hand the universities in which you want to apply because in the exams you can write 4 institution in which you want to send the scores free of charge. After this if you want to send the scores to some additional universities you'll have to send the Additional Score Request Form to ETS New - Jersey through post along with a DD of 14 USD per University . Or you can Fax the form to ETS (1-609-771-7906) and make payment through International Credit Card (VISA or MASTERCARD). Application Packet Ø Transcripts/Official Mark sheets Ø Recommendation Letters Ø Statement of Purposes Ø Resume Ø Syllabus Ø Banks Statement Ø Letter of Support from Sponsor Ø Covering Letter Ø Demand Draft Transcripts All the universities require you to submit your transcript of under graduate studies. The transcript should consist the marks of each subjects, no of hours per week, etc. It should consist of the college stamp and should be signed by the registrar. Then the transcript should be enclosed in an envelope. You then seal the envelope and the place where you have closed the envelope put the stamp and take the sign on that again. Make at least 10 copies of the transcripts because most university ask for 2 copies of the transcript Also some university require you to submit the transcripts of H.S.C. So keep those transcripts also ready. If the university asks for Official mark sheets or transcript from University of Mumbai then you'll have to photocopy the mark sheets and get it certified from University of Mumbai. For certifying your photocopies you'll have to go to Students Welfare Section. Take 2 sets of copies if you want to certify one set. One set will be kept with the university for their reference. You'll have to write an application to Director of Mumbai University stating the reason for getting it certified. They charge 5 rupees per copy. Also give an envelope if you want it to be sealed by the university. Don't forget to carry the originals with you. After submission you should collect it after 7 days. So submit at least 15 days before the deadlines. Some universities may accept photocopies certified by USEFI. They also charge the same amount and they certify and give it to you on the same day. Recommendation Letter The university generally ask for 3 letters of recommendation. This letter should be written on the college letter head, stamped and signed by the professor. Then place the recommendation letter in an envelope and seal and take the stamp and signature on the envelope. If you are working take the recommendation letter from your employer also. Many times your admission decision depends on the recommendation letter so take care to use good English and it should state all your good qualities including your extra curricular activities. If possible take the recommendations from HOD and never forget to write the qualification because if the professor has done P.Hd then his recommendation counts a lot for them. Statement Of Purpose The most important document in your application packet is your Statement Of Purpose (SOP). Your SOP should clearly state why have you selected the particular field. It should state your achievements till date your qualities, your communication skills, your interest in extracurricular activities. If you have work in any social organization do write it in your SOP. You should clearly write why have you selected the university and the country as USA for further studies. SOP is not be sealed in envelope. Resume It is highly advisable that you include your resume in the application packet. It should include your working experience, Projects completed, etc. Syllabus You should include the syllabus because it can be very helpful. If you have completed a particular course in undergrads then you can get exemption from that course. Because transcript just contain the name of the subjects and not the topics covered in that course. Banks Statement All the universities require a banks statement. You can either provide a solvency certificate or a balance certificate. In case of solvency certificate you have to give an application and show the papers of the properties and after about 15 days they issue a solvency certificate stating that the party is solvent for so and so amount. Don't forget to include the no of years you are holding the account, your account number and the purpose why you are preparing this solvency certificate. If you want Balance certificate deposit the amount in the account and ask for the balance certificate. The amount you specify in the solvency or banks statement should be more then the Fees. (say 30-35 thousand USD). Generally the bank will issue only one copy. Get it photocopied and certify it through the bank. The bank may charge you for issuing this certificates. Letter of Support from Sponsor You should prepare a Letter of Support from Sponsor. Even if your father is sponsoring you then also you'll have to prepare a letter from your father stating that I have this amount of money which will be used for my sons education. And at the bottom your father should sign it. Some universities may ask for the Affidavit of Support. In that case you'll have to prepare an Affidavit on 20 Rs. stamp paper from the court. Covering Letter You should write your address on the top right corner of the letter and the university address below it on the left side. You write all the documents you are sending in the application packet. Write your GRE and TOEFL scores if available. End the letter with stating your confidence of getting the admission. Demand Draft You should include the Demand Draft for the application fees. Without this they will not touch your application packet. In the DD the amount payable to should be exactly same as that mentioned in the brochures of the universities.
