Editing and polishing are necessary parts of the writing process. So next time you put pen to paper, give the following items some consideration.
CONTENT...
Decide on the content, before you begin writing. Jot down a list of points you intend raising, and place them in a logical sequence. These can then be expanded on, as paragraphs.
CONCISENESS...
Try to be concise. If you can remove a word from a sentence and not change the intent/meaning...it shouldnt have been there in the first place.
BE SPECIFIC...
Be specific, when its called for. For example: Our company has been in IT for many years, change this to: Our company has been in IT for 15 years.
WATCH OUT FOR LONG SENTENCES...
Be mindful of long sentences, as these can leave the reader confused. If you must use a long sentence try to make sure you dont string them one after the other.
SPELLING...
Finally, dont rely too heavily on the spell-checker; and pay particular attention to names and surnames. No matter how flawless your document, you will lose credibility if you spell the addressees name incorrectly in a number of cultures its a sign of disrespect. So, check your spelling carefully.
